Annotation Tab

You can access the Annotation section from the Document Viewer>Doc Tab. You can annotate or highlight PDF images or files opened in the Document Viewer Annotation. This feature allows you to either annotate/highlight documents directly or manually upload documents previously annotated to you cases in the eDiscovery Platform.


NOTE: This feature is not available for Read-Only or Limited Users.


Making Annotations in The eDiscovery Platform

This feature allows attorneys and others doing case review to highlight and create text notes in the PDF's version of any files, without affecting or automatically modifying the original. This can be used to mark-up documents for witness examination, annotate deposition transcripts and other documents and for other purposes. This will help prepare for cross-examination, working with experts, handling objections, assisting witnesses and saves time and preparing transcripts.

To use this feature the following steps should be taken, which are detailed below:

1) From the Browse or Search pages, click on the title of a particular document you want to annotate
2) Navigate from the top menu to the Annotation section (Document Viewer>Doc Tab
3) Click 'Open Annotation Editor' hyperlink

Annotation Editor Page

When you open the Annotation Editor page, you will see the message 'Annotation images are being created.' Refresh the current page and as result of that button click event, it will safely open only the file to be annotated.

>Select the area to annotate with your mouse. It should draw a gray box around your selection and automatically open the 'Edit Annotation' Box
>In the Enter Annotation Text field, enter your custom message that can be saved, deleted or even canceled (e.g. Ask witness about this)
>Once the text or graphic has been saved, you can click on the 'Save Annotation' button and the area selected will display the annotation in a blue light text area. (see example below)




>The 'Undo' button gives you the chance to go back to the 'Annotation Editor Page' and edit your annotation
>Review your final annotation and then click on the 'Apply Current Annotation' button. This action will ask you to 'Refresh' the page and create the final Annotated PDF version
>Close the Current Annotation Editor, the Document Viewer tabs and then wait a few seconds on the queue to complete the task. You should expect some delay when creating an annotated image, especially if you are annotating large PDF documents since that can take several minutes to be generated, and internet speed can also slow the view

>Once the annotation is completed the 'Annotation' tab will display its version in the Document Viewer page, while you can still view the document without annotations from the Page, Doc and Original tabs
>Please also note that once you apply annotation to a document, it goes back into the queue and will not allow further annotations until it is done applying current ones.

Highlighting Text in PDF document

To highlight portion of an image in a PDF document, you repeat the same steps above-mentioned but without inserting text.
Here are the steps:

>Select the area to highlight with your mouse. It should draw a gray box around your selection and automatically open the 'Edit Annotation' Box
>DO NOT enter Annotation Text and save the annotation
>Once the text or graphic has been saved, you can click on the 'Save Annotation' button and the area selected will display the annotation in a yellow highlight area.



Working With Annotated & Highlighted Documents

From the Browse and Search pages you can display the built-in field 'IsAnnotated', and also apply filter to view only the annotated version of the documents  'Show Annotated Only'.




Download Annotated & Highlighted PDFs

You can use the 'Download Briefcase' feature to download and print annotated documents from the Search, Browse and Document Viewer pages.


The
briefcase downloaded will include a sub-folder entitled 'Annotated' in addition to the Originals, PDF and Redacted (if applicable).



Which Version Will Be In My Production?

Only the PDF versions NOT annotated/highlighted will be automatically included into the productions under the 'PDF', 'TIFF' and 'TEXT' sub-folders.

Upload Document Manually Annotated or Highlighted

You can also upload PDF files previously annotated/highlighted outside of The eDiscovery Platform with Acrobat Pro or another desktop annotation tool, by choosing the 'Upload Manual Annotation' button. Please note that if annotated document versions of the same file already exists, uploading a new annotated PDF will overwrite existing annotated documents.
